PROGRAM COORDINATOR
​

About:
IYRC has an annual Tokyo Explore Program, Medicine and Research Summer Program, STEM Winter Program, ACComPLISHED Community Health Program, as well as 2 conferences and programming throughout the year. This application is role of Program Coordinator.


The Program Coordinator plays a pivotal role in the success of IYRC's programs and projects. They are responsible for overseeing the entire lifecycle of initiatives, from conception to evaluation. They work closely with Directors, staff, volunteers, and participants to ensure that programs align with organizational goals, meet the needs of the community, and deliver measurable outcomes.

 Key Responsibilities:
  • Develop, implement, and manage programs and projects.
  • Coordinate logistics, schedules, and resources.
  • Liaise with stakeholders, partners, and participants.
  • Monitor and evaluate program effectiveness.
  • Update Courseworks.
  • Plan and Run weekly programming (zoom and in-person)
  • Pick up and store shipped packages for in-person programming
  • Send weekly announcement
  • Send weekly TF instruction
  • Provide feedback for TF slides and presentations
  • Update biweekly meeting notes
  • Grade assignments
  • Respond to emails regarding programming
  • Ensure all members completed working with minors training
  • Ensure students meeting milestones
  • Recruit and read applications.
  • Work with Program Director to expand programming
 
Description:
  • Program Coordinators oversee all aspects of program implementation, including logistics, schedules, resources, staffing, communication, and risk management.
  • Manage the recruitment, onboarding, training, and supervision of program staff, volunteers, and participants.
  • Facilitate regular communication with stakeholders and participants, providing updates on program progress, addressing concerns, and managing expectations.
  • Ensure compliance with relevant laws, regulations, and organizational policies and procedures including working with minors training
  • Program coordinators have opportunities for creative expression by collaborating with stakeholders, community leaders, and potential beneficiaries to identify unmet needs and opportunities for new programs and projects. We research best practices and industry trends to develop innovative and evidence-based programs for our students.
  • Actively seek feedback from stakeholders, participants, and beneficiaries to identify opportunities for program improvement.
  • Conduct regular reviews of program performance to assess its relevance, impact, sustainability, and alignment with changing community needs.
  • Propose innovative approaches and solutions to enhance program outcomes and address emerging challenges.
  • Foster a culture of continuous learning and improvement within the program team.
 
Qualifications:
  • Bachelor's degree
  • Strong project management skills, including proficiency in planning, organizing, scheduling, executing, and closing complex projects.
  • Excellent communication and interpersonal skills, with the ability to engage effectively with diverse stakeholders, including community members, donors, government officials, and beneficiaries.
  • Ability to work independently and as part of a team, demonstrating leadership, decision-making, and problem-solving capabilities.
  • Strong analytical skills and experience in data analysis and interpretation.
  • Proficiency in using project management software and tools, as well as data analysis software.
  • Ideal for premed or community health focused individuals.

Compensation:
  • Estimated
    • $10,000 per year at 6-12 hours/ week (depending on monthly in-person day)
    • (Estimation based on standard engagement. Actual pay may be lower or higher based on performance. Transparent breakdown of compensation provided).
  • Breakdown:
    • $15/ hour of staff meetings (~1h/ week)
    • $20/ hour of synchronous zoom programming (~ 2h/ week)
    • $25/ hour of synchronous in-person programming (~5h/ month)
    • $75 bonus on in-person weeks (~3h/ month)
      • Additional planning for in-person days
      • Pick up and store shipped packages for in-person programming
    • $50 for weekly logistics: (~3h/ week)
      • Ex.
        • Send weekly announcement
        • Send weekly TF instruction
        • Provide feedback for TF slides and presentations
        • Update biweekly meeting notes
        • Grade assignments
        • Ensure all members completed working with minors training
        • Ensure students meeting milestones
        • Recruit and read applications.
        • Work with Program Director to expand programming
    • $10 bonus per student who completes and passes the program (We had ~ 1,000 students in 2024).
    • $2000 stipend for annual Japan trip
    • Additional opportunities for hours available
